What AI for hotels includes
Aranv builds AI for hotels, inns and small resort groups: guest messaging that answers pre-arrival and in-stay questions, drafted replies to online reviews and housekeeping coordination tied to your property management system, while the front desk keeps refunds, rate changes and every exception.
Hotel data lives in the property management system (PMS), the channel manager, the point of sale and a messaging inbox. We connect AI through those systems’ APIs, so a reply about checkout time reads the real reservation. Booking engines and staff apps are covered on our hospitality software development page.
Guest messaging is usually an AI chatbot on web chat and SMS, or a WhatsApp AI chatbot for international guests, with AI translation handling replies in the guest’s own language. After-hours calls to the desk can go to an AI voice agent that takes messages and answers policy questions.
How a guest text is handled
From a guest message to a closed request
- 01 Guest sends a message A guest texts asking about late checkout, extra towels or parking.
- 02 Reservation is matched The assistant finds the booking in the PMS and reads room, dates and rate rules.
- 03 Answer or task Policy questions get a reply; service requests open a housekeeping or maintenance task.
- 04 Desk approves exceptions Late checkout, upgrades and fee waivers wait for a staff member.
The assistant follows your house rules and never invents availability, prices or promises.
Hospitality AI solutions for daily operations
Front desk teams repeat the same answers all day while checking guests in. These projects move the routine part to software and leave judgment calls with people.
Hotel guest messaging AI
Answers Wi-Fi, parking, breakfast and checkout questions by SMS, WhatsApp or web chat, reading the booking so each reply fits the guest’s actual stay.
Review reply drafting
Collects new reviews from the sites you list on, sorts complaints by department and drafts a response that a manager edits and posts.
Housekeeping coordination
Turns checkouts, early arrivals and guest requests into a prioritized room list for housekeepers, updated as rooms are marked clean or occupied.
Pre-arrival messages and add-ons
Sends arrival details and optional extras such as parking or early check-in, priced from your rate rules with the full total shown.
Guest messaging across SMS, WhatsApp and chat
One assistant covers questions before arrival, during the stay and after checkout. It reads the reservation, replies in the guest’s language and opens a housekeeping or maintenance task when a request needs a person. Desk staff see every thread in one inbox and can take over at any point.
What we do
- PMS reservation lookup
- Multilingual replies
- Service request tickets
- One-click staff takeover
- After-hours message capture
Review insight and pricing safeguards
We set firm limits on what the AI may say. Review replies are drafts for a manager and are never posted automatically. Any message that mentions money pulls the rate, taxes and mandatory fees from your rules so the guest sees a total, and refund or credit requests always go to staff.
What we do
- Review themes by department
- Reply drafts for manager approval
- Total-price checks on quotes
- Refund and credit handoffs
- Monthly complaint trend report
How we approach a project
Reviews are a separate job. Sentiment analysis groups comments by theme, such as noise, cleanliness or breakfast, so managers see patterns by month. The software responds only to genuine guest reviews, never writes reviews, and a manager posts each reply.
Prices need care. The FTC fees rule covers short-term lodging, so any message quoting a room rate or add-on shows the total with mandatory fees, taken from your rate rules. Hotel owners can request a 30-minute call with our team through the Aranv contact form.
How we work
- Staff approve rates, refunds and exceptions
- One guest thread across channels
- Replies in the guest’s language
Our Process
-
Collect house rules
Checkout times, pet rules, parking, fees and upgrade policies are written down as the assistant’s only source.
-
Connect the PMS read-only
We start with read access to reservations and add task creation once staff trust the output.
-
Shadow the front desk
In the first weeks the assistant drafts replies that staff send, edit or discard, and we record why.
-
Go live channel by channel
Web chat goes first, then SMS or WhatsApp, with weekly reviews of handoffs and guest complaints.
Why hotels work with Aranv
Front desk stays in control
Rates, refunds, upgrades and exceptions always go to a person. The assistant prepares each request with the reservation details so staff can decide quickly.
Answers from the live booking
Replies use the actual reservation rather than a static FAQ, so the answer about checkout, parking or a balance fits that guest.
House rules you can edit
Policies sit in a document your managers update. Change the pool hours or pet fee once and every channel answers with the new rule.
Support through the seasons
After launch we adjust for seasonal rules, new add-ons and PMS updates, and review handoffs and complaints with you each month.

Hotel AI FAQs
-
Can AI answer guest messages for a small hotel?
Yes, for routine questions such as Wi-Fi, parking, breakfast hours, checkout time and directions. It reads the reservation for stay-specific answers and passes refunds, complaints and exceptions to the front desk with the full thread attached.
-
Which hotel systems can the AI connect to?
Most cloud property management systems, channel managers and messaging platforms offer APIs, and we connect through those. Older on-premise systems may need a nightly export or a small connector. We check what your PMS vendor allows before we estimate the work.
-
Should AI reply to our online reviews?
It can draft replies and sort reviews by theme, but a manager should edit and post each response, because a reply is a public statement from the property. We do not generate reviews of any kind, only responses to real guests.
-
Should guests be told the replies come from AI?
Yes. We label the assistant clearly and give guests a simple way to reach a person, such as replying with the words front desk. Honest labeling sets expectations and keeps a frustrated guest from feeling misled.
-
How do you keep the assistant from promising things we cannot deliver?
It answers only from your house rules and the live reservation, and it cannot change rates, approve late checkouts or issue credits. Those actions become requests for staff. We test it on past guest messages, including awkward ones, before launch.
-
What does it take to start a hotel AI project?
A list of common guest questions, your house rules and fee schedule, access details for the PMS and messaging tools and a front desk lead who reviews drafts during the pilot. Groups with several properties should note which rules differ by site.
