What dealership AI work covers
Aranv builds AI for car dealerships: a BDC assistant that answers internet leads and books visits, service scheduling by phone and text that fills the drive with the right jobs, and deal jacket checks that compare the buyer’s order, contract and disclosures before funding, while managers approve prices, credit and every customer commitment.
Dealers already run a DMS, a CRM, a service scheduler and lender portals. AI connects to those through their APIs or approved integrations and writes notes and appointments back, so managers see one record. Our dealership software development page covers the wider build.
Phones are often the heaviest load. An AI voice agent answers sales and service lines, and AI appointment scheduling books test drives and service lanes. Automated texts and AI-voice calls need prior consent under the TCPA, so consent is stored with each lead.

Dealership AI we build
A dealership runs three businesses under one roof, and each has its own pile of calls, messages and paperwork.
BDC lead response
Answers internet and text leads at any hour with live inventory, trade-in next steps and test drive times, then hands the shopper to a salesperson.
Service appointment booking
Takes service calls and texts, books by job type and advisor capacity, and reminds customers about open recalls and due maintenance.
F&I deal jacket checks
Compares the buyer’s order, retail installment contract, product forms and disclosures, and flags mismatched figures, missing signatures or absent forms.
Call and lead insights
Summarizes sales and service calls, tags missed appointment chances and shows managers which leads went cold and why.
Service scheduling and drive follow-up
The service phone peaks at opening and at lunch. The assistant answers, identifies the customer and vehicle from the DMS, books the right job length with an available advisor, offers a loaner or shuttle where your rules allow, and texts reminders. Advisors see booked work and recall flags before the car arrives.
What we do
- Phone and text booking
- Job codes and labor times
- Advisor and bay capacity rules
- Recall and maintenance reminders
- Status texts during the repair
Deal jacket review before funding
A contract returned by the lender delays funding and frustrates the customer. Before submission, the reviewer reads the deal jacket, compares price, term, APR and amount financed across documents, checks that each required form and signature is present, and gives the F&I manager a short list of fixes.
What we do
- Figures matched across documents
- Missing signature and date checks
- Form checklist per deal type
- Product contract cross-checks
- Lender stipulation tracking
How we approach a project
On the sales floor, an AI sales assistant drafts follow-ups and reminds salespeople of open deals, and AI call analytics shows managers which calls ended without an appointment.
Dealers that extend credit or arrange financing or leasing have duties under the Gramm-Leach-Bliley Act, as the FTC’s GLBA guidance explains. The Safeguards Rule calls for a written security program and oversight of service providers, so we redact Social Security numbers from prompts, limit access by role and keep logs for your Qualified Individual.
How we work
- Managers own price and credit
- Stock answers come from the DMS
- Customer data handled under Safeguards
Our Process
-
Review a week of activity
With your permission we study call recordings, lead logs and returned contracts to find where customers and deals get stuck.
-
Set rules with each manager
Sales, service and F&I managers each approve what the assistant may say, book or flag in their department.
-
Go live in one department
We usually begin with service scheduling or after-hours leads, reviewing conversations daily at first.
-
Add departments and report
The next department joins on the same setup, and managers get a weekly report on bookings, handoffs and flags.
Why dealers work with Aranv
Rules set by each department
Sales, service and F&I each set their own limits, so the assistant never books a job the shop cannot handle or quotes a number sales did not approve.
Live inventory and DMS data
Answers about stock, appointments and customer history come from your DMS and inventory feed at the moment of the question.
Built with Safeguards in mind
Redaction, role-based access, logging and vendor documentation are part of the design, which supports your written information security program.
Handoffs your staff trust
Each handoff arrives with a short summary and the conversation history, so salespeople and advisors pick up where the customer left off.

Dealership AI questions
-
Can an AI assistant quote prices or trade-in values to customers?
Only what your managers approve. It can share advertised prices and current offers from your inventory feed and explain how the trade appraisal works. Payment quotes, trade values and any negotiation go to a salesperson or manager, because those numbers carry legal and commercial weight.
-
Does dealership AI connect to our DMS and CRM?
Most dealer management systems and automotive CRMs offer APIs or vendor integration programs, and lead sources usually send ADF XML. We work through the access your vendors allow and confirm the details during discovery, before giving an estimate.
-
How does AI help with F&I compliance?
It checks paperwork, not people. The reviewer compares figures across the buyer’s order and contract, confirms required forms and signatures are present and flags gaps before funding. Your F&I manager and compliance lead decide what each flag means and how to fix it.
-
Is customer financial data safe with AI tools?
It can be, with the right setup. Under the FTC Safeguards Rule, covered dealers need a written security program and must oversee service providers. We keep credit data out of prompts where possible, redact identifiers, use role-based access and log each access.
-
What does AI for car dealerships cost?
Cost depends on how many departments and rooftops take part, the systems we connect, call volume and how many document types the F&I reviewer checks. Discovery ends with a written, phased estimate, so one department can go first.
