AI for Real Estate Brokerages

From first inquiry to a closed file

Aranv brand pattern

What real estate AI work includes

Aranv builds AI for real estate brokerages and teams: an assistant that answers new inquiries at any hour and passes them to the right agent, a checker that catches listing data errors before they reach the MLS, and a reviewer that finds gaps in transaction files.

Most brokerages already run a CRM, a transaction management platform and an MLS feed. We connect AI to those records rather than adding another login, and the agent remains the person who speaks for the brokerage. For listing sites and agent portals, see real estate software development.

Listing data has its own rules. The RESO Data Dictionary gives listing fields and pick lists shared names, so an assistant can read status, price and showing instructions the same way across feeds. Each MLS still sets license terms for display and reuse, and we build within them.

Where AI sits in a brokerage’s day

From first inquiry to a closed file

  1. 01 Collect every inquiry Portal leads, website forms, sign calls and texts land in one queue.
  2. 02 Reply and qualify The assistant answers listing questions and asks about timing, budget and financing.
  3. 03 Hand off to an agent Ready buyers reach the agent on duty with a short summary in the CRM.
  4. 04 Check the deal file Contracts, disclosures and addenda are matched to your broker’s checklist.

Agents and the managing broker approve anything sent to a client or filed as closed.

Real estate AI solutions we build

Brokerages lose hours between appointments: slow lead replies, listing drafts with wrong details and deal files returned by compliance.

Lead response assistant

Replies to portal and website inquiries by text or email, answers what the listing record supports, and books a call with the listing agent.

Listing data checker

Compares a draft listing with the tax record and the signed listing agreement, then flags wrong square footage, empty fields or remarks that break MLS rules.

Transaction file review

Reads purchase agreements, disclosures and addenda, checks initials and dates against the broker’s checklist, and lists what is missing before compliance opens the file.

Agents ask about office policy, approved forms and commission paperwork and get an answer that links to the source document.

Lead replies that hand off to agents

Inquiries come from listing portals, your website, yard sign calls and social ads, often after office hours. The assistant replies in the brokerage’s voice, sticks to listing facts, asks the qualifying questions your team chose, and routes the lead to the agent on duty with a summary and a CRM task.

What we do

  • Portal and website lead intake
  • Qualifying questions your broker approves
  • Territory or round-robin routing
  • CRM notes and follow-up tasks
  • Opt-out and quiet-hours handling

Deal checklists and transaction file review

Each sale produces a pile of paper: the purchase agreement, counteroffers, seller disclosures, lead paint forms for homes built before 1978, inspection responses and the closing statement. The reviewer matches each upload to a checklist item, checks signatures and dates, and shows the coordinator what is still open.

What we do

  • Checklist per transaction type
  • Missing signature and date flags
  • Upload sorting into checklist items
  • Deadline reminders from contract dates
  • Broker sign-off screen

How we approach a project

An AI voice agent can take sign calls and showing requests, and AI lead qualification decides which inquiries reach an agent now and which join a nurture list. Automated calls and texts to consumers need consent under federal rules, so consent records and opt-outs are designed in.

File review runs on AI document processing for scanned and e-signed forms, with document classification sorting each upload into its checklist slot. The managing broker still signs off. The tool shortens the list they check by hand.

How we work

  • Agents own every client relationship
  • Listing facts come from the record
  • The broker reviews before files close

Our Process

  • Step 1: Audit leads and closed files

    Audit leads and closed files

We study a month of inquiries and a sample of closed deals to see where replies stall and what compliance sends back.

  • Step 2: Write the rules with your broker

Write the rules with your broker

Reply templates, qualifying questions, routing and fair housing limits are agreed in writing with the managing broker.

  • Step 3: Pilot with one team

    Pilot with one team

One team of agents tries the assistant on real inquiries. We read every conversation and adjust its instructions.

  • Step 4: Add offices and report monthly

    Add offices and report monthly

Other teams join in stages, and a monthly report shows handoffs, open file items and questions the assistant could not answer.

Why brokerages work with Aranv

Agents stay in front

The assistant introduces the agent and never poses as one. Each qualified lead arrives with a summary, so the first call starts from what the buyer already said.

Your broker’s checklist

The file reviewer follows your brokerage’s own checklist and state forms rather than a generic list, and the managing broker approves each rule before it runs.

Replies you can audit

Every reply, handoff and document flag is logged with the record it relied on, so a broker can see why the assistant said what it said.

Care after go-live

We track failed answers and missed handoffs, update the assistant when forms or office policies change, and repair integrations when a vendor changes its API.

Let’s Talk

Real estate AI questions

  • Can an AI assistant answer real estate leads without annoying buyers?

Yes, when it has your listing data, your tone and clear limits. It answers what the listing record supports, says plainly that it is an assistant, and passes the buyer to an agent as soon as they want a showing or want to talk price.

  • Will AI for real estate replace agents or transaction coordinators?

No. It takes first replies, data checks and checklist matching, the tasks that pile up between appointments. Pricing advice, negotiation, showings and every signature stay with licensed agents and your staff, and the managing broker keeps final review of each file.

  • How do you keep a real estate assistant within fair housing rules?

We limit what it says about neighborhoods, schools and who a home suits, and send those questions to an agent. Replies come from listing facts, not opinions. Your broker approves the limits before launch, and we review a sample of conversations each month for anything that reads as steering.

  • What does a brokerage AI project cost?

Cost depends on how many lead sources and systems we connect, whether phone calls are included, how many document types the file reviewer must read and how much reporting you need. After discovery you get a phased written estimate, so the first workflow can be funded on its own.

  • Who owns the prompts, code and lead data?

You do. The contract assigns the code, prompts and configuration to the brokerage once the work is paid for, and lead and client records stay in your own accounts. We use model provider accounts whose terms keep your data out of their training.
